# Privacy Policy
Last updated: June 15, 2026
This Privacy Policy describes how Instant Intros collects, uses, and shares information when
you use the Service.
## 1. Information We Collect
We collect information you provide, including:
- Contact details: name, email address, and phone number (if provided).
- Team data: team name, season year, age/division, roster names/numbers/roles, and pronunciation edits.
- Media inputs: uploaded roster images and related OCR drafts.
- Purchase data: purchase IDs and transaction metadata needed to fulfill your order.
We also collect technical information, such as:
- Device and browser details, IP address, and usage logs.
- Local storage data used to save drafts, recent pronunciations, and project state.
- First-party usage events, such as product steps and interactions, which may include a project ID,
browser details, request path, and a daily rotating IP hash.
## 2. How We Use Information
We use this data to:
- Create and render your intro, previews, and final mix.
- Deliver downloads and share links.
- Provide the post-purchase fix workflow and verify access via email code.
- Communicate with you about your order or support requests.
- Improve reliability, security, and performance.
## 3. Roster Image Processing
Roster images are used only to extract roster text for your project and to provide a temporary visual reference while you review or edit the roster. Uploaded roster images are deleted after purchase or within 24 hours after upload, whichever comes first. OCR processing currently runs in our own application stack and not through a third-party OCR vendor.
## 4. Sharing and Service Providers
We use and may use the following subprocessors to deliver the Service:
- Stripe (payments): checkout, payment processing, fraud checks, and transaction records.
- Microsoft Azure (backend hosting, audio, jobs, and storage): backend application hosting, worker/job execution, text-to-speech generation, and media/file storage.
- Vercel (application hosting): frontend hosting, content delivery, and request logs.
- Neon (database): managed Postgres database hosting for application records.
- Resend (email delivery): transactional emails such as receipts, fix codes, and delivery notices.
- jsDelivr (client-side script delivery): delivery of the HEIC conversion script used in the browser.
Our OCR flow currently runs in our own application stack (not a third-party OCR vendor).
We do not sell your personal information.
## 5. Cookies and Browser Storage
We use a first-party `beta_email` cookie to remember approved beta access. It is necessary for
the requested beta-gated service, is not available to browser scripts, and lasts up to 30 days.
We use local storage, session storage, and IndexedDB to preserve drafts and project state,
recover checkout progress, support fix access, remember OCR editing state, and cache audio
metadata. These technologies support requested product functionality and are not used for
cross-site advertising.
We also collect optional first-party usage analytics to understand product interactions and
improve reliability and usability. You can allow or disable optional usage analytics using the
control on this Privacy Policy page. This choice does not disable browser storage needed for
drafts, purchases, security, or other requested product functionality.
Stripe may use cookies and similar technologies on Stripe-hosted checkout pages according to
Stripe's own privacy practices. Instant Intros does not use advertising cookies or sell personal
information.
## 6. Data Retention
We retain project and purchase data as needed to provide downloads, fixes, and support.
## 7. Your Choices
You can update roster details and pronunciations in the Service before purchase and during
the correction window. You can also change your optional usage analytics preference at any time
on this Privacy Policy page.
## 8. Security
We use reasonable safeguards to protect your data, but no system is 100% secure.
## 9. Children's Privacy
The Service is not directed to children under 13, and we do not knowingly collect their data.
## 10. International Transfers
Your data may be processed in Canada or other countries where our providers operate.
## 11. Contact
Questions or requests can be sent to whistle@instantintros.com.
